Job Summary
The Office Manager is responsible for overseeing the daily administrative, accounting, and office operations of the automotive dealership. This role ensures efficient financial processes, regulatory compliance, and smooth coordination between departments including sales, service, and management. The Office Manager plays a critical role in maintaining accuracy, organization, and operational integrity within the dealership.
Key Responsibilities
Accounting & Financial Operations
- Oversee dealership accounting functions including accounts payable/receivable, payroll, reconciliations, and month-end close
- Ensure accuracy of financial records and compliance with GAAP and dealership policies
- Prepare financial reports and assist with budgeting and forecasting
- Manage floorplan, vehicle inventory accounting, and manufacturer statements
Title, Registration & Compliance
- Supervise vehicle titling, registration, and lien processing
- Ensure compliance with state DMV regulations, lender requirements, and manufacturer policies
- Maintain proper documentation for audits and inspections
Office & Administrative Management
- Manage office staff, including hiring, training, scheduling, and performance evaluations
- Establish and enforce office procedures and internal controls
- Oversee office supplies, vendor relationships, and administrative systems
- Act as liaison between dealership departments and ownership/management
Technology & Systems
- Manage dealership management system (DMS) and related office software
- Coordinate with IT vendors for system updates and troubleshooting
- Ensure data accuracy and security across office operations
Qualifications & Skills
- 3–5 years of office management or accounting experience, preferably in an automotive dealership
- Strong knowledge of dealership accounting, DMV/title processes, and compliance requirements
- Proficiency with dealership management systems (e.g., Reynolds & Reynolds, CDK)
- Excellent organizational, leadership, and communication skills
- High attention to detail and strong problem-solving abilities
- Ability to manage multiple priorities in a fast-paced environment
Education
- Associate or Bachelor’s degree in Accounting, Business Administration, or related field preferred
Work Environment
- Full-time position in a dealership office environment
- Occasional extended hours during month-end, audits, or high-volume periods
